File Storage Service

Service Information

The School runs a Windows based, network file system as the primary location to save all School related files and data.

The File Storage Service is designed to provide fast, secure, highly available access to files and is hosted as a clustered service on our resilient Virtual Infrastructure, which provides resilient hosting at the Software and Hardware layers. In practice this means that the File System is resilient to many hardware and software failures. Data is backed up daily to the University's off-site HFS backup service.

The File Server ("BSG-FS") can be accessed using your BSG Network username and password, within the School on the wired network, and the wireless network when connecting to the BSG SSID. You can securely access the File Server from outside of the School network when you connect using the BSG VPN.

The File Server is currently split into two logical shares;

  • Live
  • Redirected Staff Folders

These shares are automatically mounted at login on School supported Windows computers as the Q: drive, and on mac computers as BSG-FS IP in the Shared section of the Finder Sidebar.

Live

Live contains the main shared folders for Academics, Administration and Research Projects. Folders are logically structured and secured using Active Directory group permissions.

Redirected Staff Folders

Redirected Staff folders contain personal folder for all Faculty, Academics, Administration Staff, BSG Researchers and some visitors. Each personal folder is secured to allow access only to the owner of the folder.

ICT Access to data

Due to the nature of their roles, the ICT team and a small number of colleagues from IT Services have administrative access to the File Server and backups.

This access is a privilege, and we take our responsibilities seriously.

The ICT team will only access files as part of the investigation of a support query, with the approval of the data owner; or as part of an formal investigation into a breach of the School or University Acceptable Use or Information Security Policies, these investigations would only take place with the approval of a member of the Senior Management Team or Senior Faculty.

Any breach of this policy by a member of the ICT team will be investigated in line with the School's Acceptable Use of ICT Policy.
