Printing Best Practices

Do I need to print this?

Many applications now allow electronic markup of documents. Before sending a job to the printer, consider whether you could access the document electronically by saving a copy locally to your computer or to your staff folder. You can securely access files saved to your staff folder from anywhere using the BSG VPN client software.

This will reducing the cost and waste associated with printing or photocopying a document. Well filed electronic documents also reduce the amount of paper that you need to carry around or file.

These commonly used applications support electronic markup;

  • Microsoft Office - track changes, and inking support.
  • Apple Preview
  • Adobe Acrobat Pro

Mono or Colour? Simplex or Duplex?

The choices you make when you send a job to the printer can have a significant impact on cost.

Per page costs range from 1p for a single side A4 mono print to 20p for a double sided A3 colour print.

As an example, printing a 100 page document in black and white, on both sides of A4 paper would cost in the region of 75p. Printing the same document in colour on one side of a page would cost in the region of £5.

All School computers are set to print in mono and duplex by default, please talk to a member of the ICT team if your computer doesn't follow these default settings.

You can collect any print job, from any printer

Yes, even if you accidentally selected A3 colour printing, you can collect the same job from an A4 mono printer. The output will be scaled down to A4, and you will only be charged at the A4 mono rate.
